Terms and Conditions

1. Bookings

1.1. All bookings are subject to availability and must be confirmed in writing, by phone, or through our website.
1.2. Full journey details must be provided at the time of booking.
1.3. Chauffeur Vision Ltd reserves the right to refuse bookings at its discretion.

2. Pricing and Payment

2.1. Prices are quoted based on the information provided at the time of booking.
2.2. Additional charges may apply for waiting time, extra mileage, unscheduled stops, or out-of-hours service. 2.3. A night hour surcharge of 25% will apply to all bookings scheduled between 22:00 and 06:00.
2.4. Payment is due in full before the journey unless otherwise agreed in writing.

3. Cancellations and Refunds

3.1. Cancellations must be made at least 24 hours prior to the scheduled pick-up time to avoid charges.
3.2. All cancellation requests must be made during Chauffeur Vision Ltd’s working hours (Monday to Friday, 9am-6pm). Requests made outside of these hours will be treated as received at the start of the next working day.
3.3. Cancellations made within 12 hours of the scheduled pick-up time will be charged the full amount of the agreed-upon booking price.
3.4. Cancellations made between 24 and 12 hours before the scheduled pick-up time may incur a partial charge, depending on the nature of the booking.
3.5. For wedding bookings, if a cancellation is made within 7 days of the commencement of the hire period, the client will be charged the full amount of the agreed-upon booking price.
3.6. Refunds will be processed within 7 working days where applicable.

4. Waiting Time and Delays

4.1. A grace period of 15 minutes is included for standard pick-ups; airport collections include 60 minutes waiting time from the actual landing time.
4.2. Additional waiting time will be charged at the standard hourly rate.

5. Vehicle Use

5.1. Our vehicles are strictly non-smoking.
5.2. Passengers are responsible for any damage caused to the vehicle during hire.
5.3. Chauffeur Vision Ltd reserves the right to terminate a journey if a passenger behaves in a threatening, abusive, or unsafe manner.

6. Luggage

6.1. Passengers are responsible for ensuring their luggage fits comfortably in the vehicle booked.
6.2. Chauffeur Vision Ltd is not liable for any loss or damage to personal belongings left in the vehicle.

7. Liability

7.1. Chauffeur Vision Ltd will make every reasonable effort to ensure passengers arrive at their destination safely and on time. However, we cannot be held responsible for delays caused by circumstances beyond our control, including but not limited to: traffic, weather conditions, road closures, mechanical failures, or unforeseen incidents.
7.2. Our liability in all cases is limited to the amount paid for the specific booking in question.
7.3. Chauffeur Vision Ltd is not liable for any consequential losses, missed flights, missed appointments, or loss of income caused by delays.
7.4. We are not responsible for any loss or damage to personal belongings left in the vehicle.
7.5. Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence or for any other liability that cannot be legally excluded.

8. Privacy

8.1. All personal information is handled in accordance with our Privacy Policy.
8.2. Booking information may be shared with drivers for operational purposes only.

9. Lost Property

9.1. Any items left in vehicles will be logged and stored securely.
9.2. It is the responsibility of the passenger to contact us regarding lost items.

10. Complaints

10.1. We strive to provide excellent service. If you are unhappy with any part of your journey, please contact us within 48 hours of the booking.

11. Health and Safety

11.1. Chauffeur Vision Ltd is committed to ensuring the health and safety of all passengers and drivers at all times.
11.2. All vehicles are regularly inspected, cleaned, and maintained to meet high safety standards and comply with Transport for London (TfL) licensing requirements.
11.3. Passengers must wear seat belts at all times during the journey.
11.4. Passengers must not distract the driver while the vehicle is in motion or engage in any behaviour that could compromise safety.
11.5. Chauffeurs have the right to terminate the journey if they believe the safety of any person is at risk due to passenger behaviour.
11.6. In the event of an accident or emergency, the driver will follow appropriate procedures and contact emergency services if necessary.
11.7. Chauffeur Vision Ltd may refuse travel to passengers showing symptoms of illness if it is considered a risk to the driver or other clients.

12. Events Outside Our Control

12.1. Chauffeur Vision Ltd shall not be held responsible for any failure or delay in performing our obligations under these terms where such failure or delay is caused by events outside our reasonable control. These include, but are not limited to:
– Severe weather conditions
– Traffic congestion or accidents
– Road closures or diversions
– Industrial action or strikes
– Public demonstrations or protests
– Government restrictions or emergencies
– Vehicle breakdowns despite regular maintenance
– Acts of terrorism or threat thereof
– Natural disasters or ‘acts of God’

12.2. In such events, we will make every reasonable effort to inform the customer as soon as possible and to offer alternative arrangements where practical. However, we shall not be liable for any losses, costs, or damages arising from such delays or cancellations.
